Toronto Moving Checklist: From 4 Weeks Out to Moving Day

A useful moving checklist connects preparation with the details that can hold up the day: keys, building access, a place for the truck and belongings that are actually ready to travel.

A useful moving checklist connects preparation with the details that can hold up the day: keys, building access, a place for the truck and belongings that are actually ready to travel. In Toronto, a condo elevator window or a separate loading entrance can be just as important as the packing list.

Use this timeline as a planning guide, not a rule that every household must follow exactly. If your move is closer, work through the outstanding tasks in order of dependency. Confirm access and the moving plan first, then organise packing around what you still need to use.

Trusty Moving helps with residential, office, piano and heavy-item moving. For a free estimate, call 437-441-2393 or email trustymoving@gmail.com, Monday–Sunday, 8:00 AM–7:00 PM.

Four weeks before: establish the move you need to arrange

Start with the pickup and destination, the date you are aiming for and the belongings you intend to keep. Distinguish confirmed details from expected ones. If you are waiting for a handover time or building approval, put that uncertainty on the list rather than treating it as resolved.

Build an inventory before collecting boxes

  • Walk through every room, storage locker, garage and outdoor area.
  • List large furniture and note its current floor.
  • Identify belongings that are staying behind or travelling elsewhere.
  • Flag pianos, safes, pool tables and large appliances individually.
  • Photograph tight doorways, stair turns and basement entrances.
  • Decide which items need packing help and which you will prepare yourself.

The purpose is not to create a perfect catalogue. It is to make the move visible enough to discuss. A short inventory with useful photographs is a better starting point than a bedroom count that overlooks storage contents and heavy objects.

Request your moving estimate

Send the inventory, locations, preferred date and access details. Explain additional stops and anything that needs special review. Ask what the proposal covers and what information is still required before the booking can be confirmed. See Toronto Movers for our local service overview.

If a piano is included, give its type and dimensions where available. Send access photographs for both ends. Do not leave an instrument or heavy object as an unspecified extra to be added after the household plan is agreed.

Four weeks before: ask both buildings about moving access

For a condo or apartment, contact management early about its own moving process. Ask whether a service or freight elevator must be reserved and what loading arrangements apply. Do not use another building’s rules as a substitute for the instructions at your property.

Write down the permitted moving window, entry route and contact responsible for access. Ask whether the loading area is reserved separately from the elevator and what information management needs about the moving vehicle. Provide any requirements to your mover before treating the time as settled.

When both properties are managed buildings, consider the reservations together. A pickup window and destination window must support the same moving plan. If a restriction is unclear, ask the relevant management team to explain it before you make assumptions about arrival or unloading.

Two weeks before: turn the inventory into a packing plan

Start with belongings you can put away without disrupting daily life. Keep a separate list of what must remain available until the last few days. Pack by the destination room, especially if the new home has a different layout or a room will serve a new purpose.

Use labels that explain the destination

Mark each box with a room and a short contents description. Add a floor label if that will help at the new property. Use the same room names on your inventory and layout notes so everyone has one set of directions.

Keep manageable loads rather than filling a large box with dense objects. Identify fragile contents and avoid leaving loose belongings on furniture. If packing is part of your moving request, confirm which tasks you will complete and which are included in the agreed assistance.

Resolve access questions for large furniture

Measure furniture where the route looks tight and send photographs of the opening, stairs and landing. Consider the destination route as well as the exit. A piece that has always fitted in your old room does not automatically fit through the next property’s doorway.

If preparation or disassembly is needed, discuss who will handle it. Keep responsibilities for appliance disconnection or specialist work clear. Do not begin removing fixed components or dismantling a piano simply because the moving date is approaching.

Two weeks before: check the truck access plan

Look at the actual place where the moving vehicle is expected to load. Is it a private driveway, a managed loading bay or a street location? Tell your mover about height restrictions, gates, shared approaches and the walking distance to the entrance.

For street parking, consult the current signs and the City of Toronto’s parking information. Ask the relevant City service about your circumstances if permission is unclear. A building reservation does not answer a street-parking question, and an empty space should not be treated as an agreed loading position.

If the preferred arrangement cannot be confirmed, tell the mover rather than waiting until arrival. Discuss the available alternative and its effect on the carrying route. Do not plan to block an entrance, reserve public space informally or rely on someone overlooking a restriction.

One week before: confirm the people, places and timing

Review the moving plan against what is now confirmed. Check the booking, the inventory, property access and any building reservation. Send changes while there is still time to discuss them.

Make one accessible moving-day note

Keep these details together on your phone or on paper:

  • The agreed moving date and contact details.
  • Pickup and destination entry instructions.
  • Building or concierge contacts, where relevant.
  • Elevator and loading reservations.
  • The person providing access at each property.
  • The inventory updates already discussed with the mover.
  • A simple destination-room plan.

If you cannot be present at both properties, arrange for someone who can provide access and make practical placement decisions. Make sure that person knows which items are travelling and where the largest pieces belong.

Check services and personal arrangements

Review the organisations that need your new contact or delivery information. Confirm any utility, internet, mail or personal arrangements through the relevant provider’s own process. Keep required account information available rather than packing it into an unidentified box.

Plan for children or pets if applicable, with a place away from carrying routes. Think through how you will travel between properties. Your own transport and the moving vehicle have different responsibilities; clarify what you need to carry personally.

The final day before: keep essentials outside the load

Finish the packing you have agreed to do and make clear what is not part of the move. Keep exits and access routes usable. Avoid piling boxes in a landing or doorway that large furniture needs to pass through.

Prepare a bag that stays with you

Include identification, important documents, medication you need, keys, fobs, your phone and charger. Add toiletries, a change of clothes and anything necessary for the first evening. Keep sensitive records and essential personal items under your own control.

Pack first-night household supplies separately and label them clearly. Bedding, towels and basic items for a simple meal are easier to find when they have their own identifiable box. Choose the contents for your household instead of trying to unpack everything immediately after arrival.

Check how you will enter the destination if a phone loses power or a contact is delayed. Have the necessary keys or a confirmed handover arrangement. A packed bag is not useful if the only working fob has been left inside furniture that is already in the load.

Moving day: walk through the plan before loading

Show the moving team what is travelling, what stays and any item that needs particular attention. Point out the access route that was discussed, including the loading entrance and stairs. Explain any change immediately instead of assuming it is already known.

Keep personal essentials, documents, medication and keys with you. Avoid placing them beside boxes that are meant for the vehicle. If another person is coordinating delivery, confirm they are reachable and ready to provide access.

Before leaving the pickup property

Check cupboards, storage areas, balconies and rooms that are now empty. Confirm that items staying behind have been handled according to your own arrangements. Keep the agreed exit and loading route clear until the move from that property is complete.

During unloading

Use the destination-room names from your labels and layout plan. Position large furniture before letting boxes take over the turning space. Tell the team which essential box you need accessible first, and keep pathways usable while the rest is placed.

The first night: make the home usable before unpacking everything

Start with a place to sleep, basic toiletries, medication and access to the items your household needs immediately. Locate the keys, fobs, chargers and important paperwork. Check that your essentials bag and first-night boxes are where you expect them to be.

Review furniture placement and any questions about the move while the details are fresh. If you notice an issue, record what you see and contact the relevant party promptly. Keep your moving correspondence available rather than trying to reconstruct the arrangements from memory.

Unpack the rooms you need most before opening every box at once. Maintain clear exits and walking routes as the home fills with unpacked contents. A manageable first evening is a more useful goal than having every cupboard finished on arrival.

Add a separate route plan for a long-distance move

For a longer relocation, coordinate the pickup date with when the destination becomes accessible. Keep essentials with you for the actual travel and delivery arrangement you have confirmed. Do not assume an unloading date from the map distance alone.

Trusty Moving handles enquiries across Ontario, Quebec, New Brunswick, Nova Scotia and Prince Edward Island, including Montreal, Quebec City, Moncton and Halifax. Review our Long Distance Moving service and explain any flexibility or fixed access window at the destination. The same inventory and building questions still apply beyond Toronto.

Toronto moving checklist FAQ

What should I do first when planning a Toronto move?

Confirm the locations, preferred date and available access, then build an inventory. Identify pianos or heavy items early and request an estimate based on the actual belongings and property routes.

When should I ask about a condo elevator reservation?

Contact your building management early in planning and follow its specific process. Confirm the moving window, loading entrance and any separate loading reservation at both properties where relevant.

Does an elevator booking reserve parking for the moving truck?

Do not assume it does. Check the building’s loading arrangements and separately confirm any street-parking requirements for the actual location. Share the confirmed access plan with your mover.

What should I keep with me on moving day?

Keep important documents, identification, necessary medication, keys, fobs, your phone and charger, and personal essentials with you. Prepare clearly labelled first-night supplies so you can find them after arrival.
